ICOY’s Training Attendance Policy

Effective July 1, 2025, ICOY has updated our attendance policy to capture attendance and participation as accurately as possible. Please note: failure to follow these guidelines may result in attendees' participation being marked as incomplete and render them ineligible to receive Continuing Education Units (CEUs) or Certificates of Attendance (COA).

Cancelation Policy

All registrants who are no longer able to attend a training they’ve signed up for should notify ICOY of their cancellation as soon as possible, ideally well in advance of the training date. Please be mindful that our trainings often have limited capacity. By cancelling your registration promptly, you help open up a spot for others who are interested and able to attend.

In order to cancel your registration, you may contact ICOY's Training Team (training@icoyouth.org) with the details of your cancellation. Please include your name, the title of the training you are registered for, and the date.

Certificates of Attendance (COAs) and Continuing Education Units (CEUs)

In order to receive a COA or CEUs, participants must complete the evaluation provided to them within two weeks of finishing a training. If completed within two weeks, the submission will automatically generate a certificate of attendance to be delivered via email. CEUs are able to be requested within the evaluation for each training, and those who elect to apply for them can expect to receive them near the end of each month. Evaluations submitted more than two weeks after the date of training are not eligible to receive a Certificate of Attendance or Continuing Education Units.

ICOY does not grant Certificates of Attendance or Continuing Education Units for pre-recorded trainings or self-paced modules.

Any previously issued certificates that have been lost or misplaced cannot be replaced. While ICOY’s training department can provide a summary of trainings attended by individuals in the past, we are unable to access or reissue COAs or CEUs from previous years. Additionally, we cannot provide or issue any COAs or CEUs to individuals who did not submit a request within 14 days of the training date. We appreciate your understanding and encourage all participants to keep their certificates and documentation in a secure location.

Requirements for Participation and Engagement

Active participation consists of:

  • Staying visible during the training via webcam
  • Contributing comments during open discussions (written or verbal)
  • Engaging in group activities during breakout session
  • Responding to poll questions, where applicable

Failure to do so may result in attendees' participation being marked as incomplete.

Any participants that are unable to attend the full training should contact ICOY's Training Team to determine if they are still eligible to receive credit for their participation. Any requests sent to ICOY's Training Team on this matter should include the participant's name, the title/date of the training, and any other details relevant to the situation.

Active participation is ultimately up to the discretion of the trainer. If the trainer(s) notices low participation, the attendee may be moved into the waiting room.

Policies for Virtual Trainings

  • Each participant must register individually; only one attendee per device is allowed.
  • Shared email addresses are not permitted. Please register with a unique, individual email (preferably your work email address)
  • Be sure to provide your complete organization name during registration, no abbreviations. This will ensure we grant accurate credit on behalf of your organization.
  • Participants must have both audio and visual capabilities enabled for the duration of the training.

AI Tool Usage

  • Use of 3rd party AI tools, or AI-based note taking software, is not permitted for use in any ICOY trainings under any circumstances. Anyone found to be in violation of this rule will be removed from the training and sent to the waiting room.
  • Joining an ICOY training via AI-based assistants is not a suitable form of participation. Anyone found to be using tools of this nature will not be granted credit towards participation.
  • As a standard practice, ICOY will not use Zoom's AI Companion during trainings. 

Policies for In-person Trainings or Events

  • Each attendee must register individually through ICOY’s Website/Eventbrite.
  • Shared email addresses are not permitted.
  • Please ensure the registration includes complete attendee names and full organization name, no abbreviations. This will ensure we grant accurate credit on behalf of your organization.
  • Recording of in-person events is strictly prohibited.
